Opening for Gated Community Manager at Surf Pines to replace Current CM who is retiring.

The Surf Pines Association (SPA) is seeking a Community Manager

About Surf Pines: 
Surf Pines is a gated community, located on the northern Oregon Coast between Warrenton and Gearhart, near Astoria and Seaside. Surf Pines is bordered by the Pacific Ocean on the west and Sunset Lake on the east. Two gated entrances provide access to Surf Pines, one at Surf Pines Lane on Highway 101 north of Gearhart and one near Sunset Lane on Highway 101 south of Astoria and Warrenton. The rural setting of Surf Pines abounds in natural beauty for its residents and local wildlife, such as elk, deer, pheasants, sea gulls, and eagles.

Surf Pines has 359+ homes and many undeveloped lots. Some residents are summer and holiday residents and others are year-round residents. It has a full time Maintenance and Safety person, who lives on the grounds. 

SPA also has contracted with Fieldstone Management for all our Accounting needs to include billing, AR, AP, financials, and collections. Our current CM has been with SPA for over 11 years and is ready to retire. This position is part time and would be a great fit for someone who might be retiring or does not wish to work full time.

About the Community Manager role:
Duties, Skills and Expected Time Commitment:

 Board and Committee Assistance:

  • Meet regularly with the Board President to review SPA matters and issues.
  • With information from the President and Committee Chairs, prepare SPA Board meeting agendas in accordance with procedural guidelines established by the Board of Directors (BOD). Keeping these procedural guidelines current.
  • Attend all Board meetings and act as the recording secretary.
  • Maintain SPA records in compliance with all applicable statutory requirements, including the maintenance of SPA files, records of communication with SPA legal representatives, and financial reports from the SPA accounting contractor. 
  • Manage and facilitate the BOD Annual Planning Session which includes insurance, legal, statutory and financial matters.
  • Provide assistance to all SPA Committees as requested. Current Committees are: Roads and Grounds, Community Relations, Finance and Security/Maintenance.

Financial Management:

  • Cooperate and support, as needed, the SPA accounting contractor for all association financial matters.

 Communications:

  • Maintain timely and accurate communications with the SPA community.

The ideal candidate is experienced and flexible according to the following:

Required Skills:

  • Experienced with office and communication management software, such as Office 365 or Google Office suite, including experience with cloud storage platforms, like Google Drive.
  • Adept at managing relationships and interacting effectively with others.

Preferred Skills:

  • Experience with CRM (customer relationship management) data management software like Salesforce.
  • Ability to understand applicable State and local HOA statutes related to SPA compliance.

Expected Time Commitment and Work Environment:

  • Over the course of a Fiscal Year, the time commitment will vary by week. It is expected that the total hours in the Fiscal Year will not exceed 1,000 or, on average 20 hours per week.
  • Many administrative functions can be managed remotely, once trained. On-site visits are required for Board meetings, some Committee meetings and as requested.

Compensation:

  • $35-$65 per hour, commensurate with experience.
